Seven Systems Challenge User Guide
This exercise helps to make visible where your processes are actually happening across systems, tools, and informal workarounds. In many WIL environments, critical processes do not sit in a single system. Instead, they are spread across platforms, spreadsheets, inboxes, shared drives, and individual knowledge. This fragmentation reduces visibility, increases duplication, introduces risk, and places pressure on operational teams. The goal of this exercise is to help you identify where your processes truly live, expose gaps between systems, and highlight opportunities for improvement.
When to use this
This guide is useful if your team is experiencing:
- Heavy reliance on spreadsheets and manual tracking
- Duplicated data entry
- Unclear ownership of steps or decisions
- Frequent exceptions or workarounds
- Difficulty tracking where things are ‘up to’
Use the Seven Systems Worksheet to complete the exercise individually or as a team.
